Chancery Clerk Duties and Responsibilities:

Clerk of the Chancery Court

  • Attend and maintain the minutes of the Chancery Court
  • Create and maintain files for each Chancery Court suit
  • Issue process for service upon defendants
  • Record the court’s activities in various dockets and minute books
  • Maintain dockets
  • Process all phases of civil commitments
  • Summon jurors in Chancery Court matters in which a jury trial has been granted
  • Receive and account for various filing fees required to accompany pleadings and appeals
  • Attend each session of the Chancery Court
  • Transmit statistical data to the Mississippi Supreme Court, AOC
  • Process the court’s records for appellate review

Custodian of Public Land Records

  • Create and maintain various indexes for documents filed in the public land records
  • Create and maintain volumes that contain copies of all documents filed and indexed in the public land records (deed books, deed of trust books, etc.)
  • Receive and account for various filing fees required to accompany documents left for recording
  • Maintain all records of property sold for taxes by the county tax collector each year as well as accept and process payment in redemption of those taxes

Clerk of the Board of Supervisors

  • Attend all meetings of the Board of Supervisors
  • Record the minutes of the Board
  • Receive and process claims made against the county, which necessarily includes maintaining the county’s Docket of Claims
  • Assist the Board in equalizing the assessment rolls of real and personal property
  • Compile various reports on the Board’s behalf and submit them to other state governmental entities as required
  • Receive and process all applications made for homestead exemption and reporting thereon to the State Tax Commission.
  • Assist the Board in preparing the annual county budget
  • Submit a monthly report of all county funds to the Board

County Auditor

  • Keep accounts with each county office
  • Keep ledger accounts of all receipts and disbursements of county funds
  • Keep financial records for all county officers responsible for receiving or collecting money for the county, including a detailed account for debits and credits against the tax collector
  • Issue receipt warrants and properly document funds paid to the county
  • Collect privilege taxes and issue privilege licenses on an annual basis

County Treasurer

  • Receive and disburse money on behalf of the county
  • Reconcile statements from the county depository
